Guidance for using the Secretariat Toolbox
What is the Secretariat Toolbox?
The Secretariat Toolbox is a new online web form introduced by the Province to assist Lodge Secretaries and Chapter Scribe E's in carrying out routine administrative tasks that require contact with the Provincial office.
It consolidates several common reporting and request processes into one accessible digital platform. The tasks currently supported include:
- Reporting Resignations
- Requesting Dispensations
- Submitting a completed Form P
- Reporting a Change in a Member’s Contact Details
- Reporting a new Honorary Member
- Reporting an Exclusion under Rule 181
- Reporting a Cessation under Rule 148 / Regulation 71
- Reporting the Death of a Member
- Reporting the Passing & Raising of a Brother
At present, these tasks are handled through a variety of separate forms, emails, and procedures. The Toolbox brings these together into a single, streamlined digital interface.
The aim is to make the process more straightforward and efficient, reducing the time spent on paperwork and correspondence, and helping to ensure that submissions are complete and correctly directed from the outset.
Access details and guidance on using the Toolbox will be provided separately to Lodge Secretaries and Scribe E's. If you have any questions about its implementation, please contact the Provincial Secretariat by way of webforms@wrprovince.com.
How do I use the Secretariat Toolbox?
To use the Toolbox, simply follow the steps:
- Select "Lodge" or "Chapter" from the dropdown.
- Select your Lodge or Chapter from the next dropdown, they are sorted by number, ascending.
- Select the task you wish to complete.
- Select Submit.
Once you have selected submit, a unique link will be sent via email to the address we have on file for the Lodge Secretary / Chapter Scribe E, enabling them to further complete the form.

Reporting Resignations
Please only report Resignations after they have been read in Open Lodge / Chapter as required by Rule 183 Book of Constitutions.
To report a resignation, simple submit the Toolbox with "Report Resignation" and complete the form using the link you receive.
To report multiple resignations, you must request multiple forms by returning to the Toolbox and submitting again.
Links received via email to complete a Resignation expire after 30 days if not finished.
Requesting Dispensations
The link received when Requesting a Dispensation will take you to a form that allows you to request the common dispensations, including the common causes:
- Change of date or place of a Regular Meeting
- Holding an Emergency Meeting
Other dispensations are available, however please note that only dispensations allowed by the Craft Rules or the Royal Arch Regulations in the Book of Constitutions are permitted, any request outside of the Rules / Regulations will be rejected.
Submitting a Completed Form P
This form allows you to submit the details of a Form P, together with a scanned copy of the Form.
Reporting a Change in Contact Details
If a member changes their contact details (address, email, phone, etc.) then please use this form to report that change to Province so that we may update our records.
You may use this form to submit multiple changes.
Reporting a new Honorary Member
You may use this form to inform the Province of the election of a new Honorary member.
Reporting an Exclusion
If a member if excluded under Rule 181 please use this form to inform the Province.
Reporting a Cessation
If a member ceases due to two full subscription years non-Payment (Rule 148 Craft / Regulation 71 Royal Arch) please use this form to inform the Province.
Reporting the Death of a Member
Please use this form to inform the Province of the death of a member.
Reporting the Passing & Raising of a Member (CRAFT)
You may use this form to report a member's passing & raising and to request a Grand Lodge Certificate (including Form LP&A5).
Multiple passings and raisings may be reported using this form, as long as all members are included on the attached LP&A5.
